Administrative Assistant for Tracks and Special Programs.

The campus of Rocky Vista University College of Osteopathic Medicine - Southern Utah (RVUCOM-SU) is located in Ivins, UT, 20 minutes from St. George, UT. PRIMARY PURPOSE:   Coordinate and assist in the management of the various Tracks and Electives offered at the RVUCOM-SU campus. Provide administrative assistance to the Track Directors and Elective Directors at RVUCOM-SU.  

  1. Provide administrative support for the various track directors and elective directors at RVUCOM-SU.
  2. Assist in the coordination and management of all tracks and electives offered at RVUCOM-SU.
  3. Assist the Department Chair of Tracks and Special Programs for all department activities on the SU campus.
  4. Regularly interface with RVUCOM-SU students enrolled in tracks or electives and provide information and relevant guidance.
  5. Answer emails, phones, route calls and schedule appointments as necessary
  6. Assist in arranging travel and lodging logistics.
  7. Create and maintain the calendars for all the tracks and electives at RVUCOM-SU
  8. Create and maintain rosters for each track and elective course at RVUCOM-SU
  9. Order all supplies for the department and the individual tracks and electives as needed.
  10. Provide cross-coverage for other Administrative Assistant(s) as needed.
  11. Assist Track and Elective Directors with posting course content as needed.
  12. Work cooperatively with other RVUCOM departments.
  13. Schedule, attend, and take minutes for assigned meetings.
  14. Other duties as assigned by the Chair of Tracks and Special Programs or the RVUCOM-SU Campus Dean
  1. Assist administration, faculty, and staff in special projects as needed.
  1. Outstanding organizational skills
  2. Excellent communication skills in all forms (live interactions, emails, reports, phone calls, etc.)
  3. Advanced level of computer skills, specifically Microsoft Office products (Word, Excel, Outlook, and PowerPoint).
  4. Demonstrate high levels of professionalism, ethics, and ability to maintain confidentiality concerning sensitive and personal information.
  5. Be able to take direction and get assignments completed.
  6. Ability to work with high-level attention to detail.
  7. Ability to multi-task effectively and efficiently.
  8. Ability to recognize and solve problems quickly.
  9. Ability to work effectively and cohesively in a team-based environment.
  10. Demonstrate effective time management skills and ability to meet deadlines.
  1. High school diploma or equivalent.
  2. Two years of previous experience in secretarial/clerical position required or equivalent work experience.
  3. Understanding of Higher Education and the requirements of a Higher Education Institution
  1. Professional background or experience in Higher Education.
  2. Knowledge of scientific and medical terminology
  3. College degree.
