PRIMARY PURPOSE:    
 

Act as the primary program coordinator for one or more postgraduate training programs (internships, residencies, or fellowships) affiliated with Rocky Vista University under the direction of the program director(s) and the Director of Medical Education. 
Provide administrative support for the program director(s) and the Director of Medical Education. Coordinate and direct special projects as assigned. director(s) and the Director of Medical Education. Coordinate and direct special projects as assigned.

ESSENTIAL JOB FUNCTIONS:‚Äč

Residency Coordinator
  1. Provide administrative support to one or more postgraduate training programs.
  2. Prepare accreditation documents for accreditation site visits
  3. Communicate with appropriate oversight bodies (AOA, COPT, Rocky Mountain OPTI, etc.) as required to main good standing for the program
  4. Coordinate educational activities for assigned programs including rotation schedules, didactic programs, in-service exams, etc.
  5. Act as the primary liaison between the program director and the hospital administration and clinical faculty.
  6. Coordinate recruitment efforts including phone and e-mail inquiries, marketing, web-site, interviews, and the formation of the match list.
  7. Utilize an electronic residency management software program and other on-line tools such as ERAS in the coordination of the program.
  8. Maintain an appropriate database of trainee activities as required for funding the program.
  9. Assist with the creation of an annual budget.
  10. Coordinate monthly meetings of the Graduate Medical Education Committee, and take minutes at all residency and OPTI related meetings.
  11. Ensure that all evaluations are received timely according to policy.
  12. Coordinate medical student rotations and didactics at specific institutions where residency training exists or is planned.
  13. Maintain an office at the clinical training site to provide administrative access to the residents.
  14. Act as the primary point of contact for employed residents. Provide effective communication with the residents. Assist residents with schedules, forms, residency requirements, vacations and sick days as needed.
  15. Once the hospital is established as a core training site for RVU medical students, the Residency Coordinator will work with the Residency Director and the Office of Clinical Affairs to schedule rotations and educational sessions for these students.

Administrative Assistant

  1. Assist with the continuing accreditation of the assigned residency programs.
  2. Provide support and Assist the residency directors and Director of Medical Education (DME) with all COM, regulatory and governmental policies, procedures, rules and regulations.
  3. Coordinate and direct special projects as assigned by the residency directors or the DME.
  4. Maintain Master Calendar for the program director(s) as needed.
  5. Schedule travel and hotel accommodations, making independent, appropriate judgments.
  6. File expense reports as needed.
  7. Generate letters and correspondence for review and signature of the program director(s) and DME.
  8. Schedule meetings and events as required.
  9. Travel as directed clinical training sites to assist in recruitment, faculty development programs, and coordination with local staff.
  10. Perform research including internet searches and literature searches utilizing library and electronic resources as directed.
  11. Other duties as assigned by the Program Director or DME.
 
 
MARGINAL JOB FUNCTIONS:
  1. Assist administration, faculty and staff in special projects as required.
  2. Participate in community and professional outreach activities on behalf of the college and university.
 
 
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  1. Outstanding organizational and communication skills
  2. Demonstrate intermediate skill level of data entry knowledge and computer skills including Windows, Microsoft Word, Excel, Access, and Outlook. 
  3. Ability to maintain confidentiality and security of information with an attention to detail.
  4. Ability to multi-task and problem solve innovatively.
  5. Ability to work effectively in a team-based multi-cultural environment.
  6. Demonstrate effective time management skills and ability to meet deadlines.

MINIMUM QUALIFICATIONS:
  1. Bachelor’s Degree or equivalent work experience in medical education.
 
 
PREFERRED QUALIFICATIONS:
  1. Work experience at a College of Osteopathic Medical School
  2. Work experience in a Residency Program.
