PRIMARY PURPOSE:       As part of Student Affairs, work with all students to ensure academic and career goals are met.
 
ESSENTIAL JOB FUNCTIONS:  
  1. Assist all students in clarifying personal, academic, and career goals.
  2. Advise students holistically.
  3. Help students navigate institutional policies and procedures.
  4. Provide personal assistance and referrals to community services and academic supports.
  5. Maintain a student advising caseload and take responsibility for the communication and contact with those advisees.
  6. Recommend appropriate actions based on students’ academic abilities, personal obligations, and career goals.
  7. Respond to a vast array and high volume of questions - each requiring knowledge of different resources and procedures through phone calls, email, walk-ins, and scheduled appointments.
  8. Maintain open lines of communication with academic divisions to ensure healthy interaction with faculty that will benefit students.
  9. Recognize different types of crises and refer students to campus/community resources as deemed appropriate.
  10. Work collaboratively as a team member within the Student Affairs team.
  11. Track students through the student information system according to set standards.
  12. Provide one-on-one advising to students to ensure academic success including career planning, academic advising, student activities, and preparing academic papers and presentations for local and national levels.
  13. Oversee the preparation of the Dean’s Letters.
  14. Provide oversight of the ERAS applications.
  15. Provide guidance for 4th year students during the National Residency Match process (NRMP), AOA Match, Military Match, Urology Match, and San Francisco Match.
  16. Maintain accurate files; have a clear understanding of all university and college academic policies; and work on a daily basis with other entities across campus.
  17. Provide support and guidance for CV and Personal Statement development.
  18. Manage and monitor student academic progress and degree completion.
  19. Problem solve with students around their academic program and other factors affecting their lives as students.
  20. Work with the Director of Student Life to assess the programming needs of students.
  21. Research and implement best practices, policies, procedures and organizational tasks, and assessment.
  22. Organize and facilitate year-round strategic student advising communication campaigns.
  23. Represent the department on various committees and work groups.
  24. Build the advising program for the unit from the ground up while considering the needs specific to the students it serves.
  25. Address concerns from students, families and other stakeholders, direct to appropriate university units as needed.
  26. Design advising materials and office communications.
 
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  1. Ability to maintain confidentiality and security of information.
  2. Demonstrate ethical behavior, professionalism, interpersonal skills, leadership, and management abilities sufficient to effectively direct the Office of Student Affairs.
  3. Demonstrate time management skills and organizational skills.
  4. Public speaking.
  5. Ability to delegate.
  6. Ability to problem-solve.
  7. If needed, ability to work outside of normal business hours.
  8. Knowledge of University and College Policy and Procedures.
  9. Demonstrate skills in Microsoft Office Word, Excel, Access, student information systems, and online learning and management platforms.
 
MINIMUM QUALIFICATIONS:
  1. Earned degree in appropriate field, such as Student Affairs Administration, Higher Education, Social Work, Educational Psychology, Counseling, etc., from an accredited institution.
  2. Full-time experience at an accredited university, health profession college, or medical school.
  3. Demonstrated increased leadership responsibilities in a university setting.
 
PREFERRED QUALIFICATIONS:
  1. Three years full-time experience at an accredited university, health profession college, or medical school.
  2. Experience with student advising.
